3. How do we get information?
Most of the personal information we process is provided to us directly by you for one of the following reasons:-

5. Automated Decision-making
Carlin Ltd do not use automated tools to make decisions about people.
6. Sharing your information
We will not share your information with any third parties for the purposes of direct marketing. We may use data processors who are third parties who provide elements of services for us. Where this is required, we have contracts in place with our data processors. This means that they cannot do anything with your personal information unless we have instructed them to do it. They will not share your personal information with any organisation apart from us. They will hold it securely and retain it for the period we instruct. In some circumstances we may be legally obliged to share information, however we will satisfy ourselves that we have a lawful basis on which to share the information. We will document our decision making and satisfy ourselves we have a legal basis on which to share the information.
7. Data retention periods
Carlin Ltd. will only keep your personal data as long as it is necessary to complete the purposes for which your data is collected; in order to represent the legitimate interests of Carlin Ltd. and as long as we are legally obliged to do so.

Carlin Ltd do not store or transfer your personal data outside the European Economic Area (EEA).
9. Data Security
Carlin Ltd. have put in place appropriate security measures to prevent your personal data from being accidentally lost, used or accessed in an unauthorised way, nor altered or disclosed.
Procedures have been put in place to deal with any suspected personal data breach and will notify you and any applicable regulator of a breach where we are legally required to do so. Agents, contractors and clients may have limited access to your personal data and then on a restricted basis as a Data Processor with the express agreement of Carlin as the Data Controller (see Item 6. above)
10. Cookie policy
Carlin Ltd do use cookies to provide you with tailored information when visiting the Company website. A cookie is an element of data the website will send to your browser, which will then be stored on your computer. This element of data is a piece of text and not a program which can only be accessed by the organisation sending the relevant cookie. No personal information such as email addresses or other information about you can be collected.

Where we provide links to websites of other organisations, this privacy notice does not cover how that organisation processes personal information. We encourage you to read the privacy notices on the other websites you visit.
12. Social Media
Carlin Ltd use the following Social Media platforms: Instagram, Facebook, Twitter and LinkedIn. If you send us a private or direct message via Social Media, it will not be shared with any other organisations.
The access to Carlin Ltd social media accounts is strictly controlled to key members of staff, with access permissions regularly reviewed. Any information you send us via direct messaging will only be retained and used in line with our data protection policy, which is fully compliant with the Data Protection Act of 2018.
